Position Summary:
The Executive Assistant to the AVP is a critical conduit of information to and from the 's Office. The position requires making decisions that support the strategic priorities of the organization, while anticipating the needs of the AVP, as well as those who need access to him. The position is responsible for initiating and monitoring all logistics, scheduling, recordkeeping and time management of the 's Office, and ensuring that the proper communications, resources, and administrative processes are in place and followed to support the strategic use of the AVP's time and resources.
The Executive Assistant's primary responsibilities can be grouped under the following roles:
• Provides administrative support to the AVP
• Manages the 's Office
• Coordinates Board Relations
• Member of the Executive Leadership Team

Responsibilities


    Provides Administrative Support to the AVP
    The Executive Assistant is a conduit and key liaison between the AVP and internal and external teams. The role requires the ability to anticipate the needs of the AVP to ensure that information is shared quickly and professionally. The Executive Assistant must demonstrate independent judgment in support priorities as they relate to the AVP's agenda, schedule and needs.
    Responsibilities in this area include:
    • Provides assistance to the AVP by organizing and prioritizing his calendar in alignment with both strategic priorities and matters requiring immediate attention
    • Ensures that the AVP connects with members of the organization on an ongoing basis
    • Plans, manages, and executes and special projects and assignments as required
    • Drafts correspondence for the AVP
    • Ensures that action items coming out of meetings are documented, followed-up, and executed

Skills


Must have

    • Advanced writing skills; will be expected to draft memos with a minimum of supervision and editing
    • Advanced MS Office skills, especially Word, Excel, PowerPoint, and Outlook; will be expected to prepare PowerPoint presentations
    • Willingness and ability to quickly learn and access Sharepoint, Concur, and the data-sharing systems used at client.
    • Team player
    • Ability to perform well and effectively in a fast-paced environment, adapt to changing situations and priorities quickly, and deal professionally with the varied management and administrative responsibilities required of the position
    • Passion for the mission
