Relocation Specialist

Project Description

Job Purpose:
The focus of this full time post is to assist with, and take part in the successful relocation of overseas staff. Provide support on a range of corporate immigration and relocation issues and ensure that immigration records are properly maintained.

The Relocation Specialist is located within the Human Resources Department at Luxoft.

Responsibilities

Main Duties:
Provide up to date advice on relocation requirements to Luxoft staff ensuring all reporting in compliance with local regulations including:

• Supervise legalization steps and work permit applications by relocated expats in different regions (documentally and verbally);
• Ensure migrants comply with their obligation to register at local Authorities when they arrive and/or move home or to further foreign country/region;
• Collaboration with Labour Authority; Submission of documents for Work Permits’ issue
• Relocation Consulting and preparation of necessary documents to Management, Teams, internal and external candidates
• Update of relocation related documentation records in accordance with Company policy if required by local legislation
• Work in interactive internal systems (ex. tracking of City hall Registration, Health Insurance application dates)
• Collect all relevant supporting documentation & assist with the completion of applications
• Support of other departments in relocation related activities
• Tracking expiration Dates of Visas/ Blue Cards/Residence permits; Support to Expats in RP extensions or Permanent RP obtaining;


On-boarding process:
Providing advice and guidance of all aspects of relocating to the destination location, including:
• Maintain up to date the Relocation pack document containing information for new staff on Relocating to the destination location (for expats to timely instructed).
• Leading/controlling Relocation related Syncup Calls (with involvement of external suppliers if needed)
• Written/Verbal communication with Landlords of rented flats where Luxoft GmbH is one of parties in the agreement (processing of terminations, commodities’ & other belonging to rental time documents);
• Control of deposit refunds to employees (rented flats where Luxoft GmbH is one of parties in the agreement)
• Support to Expats in Reimbursement of Relocation costs

Contract Negotiations
• Conducting contract negotiation with Estate Agents on behalf of the Company, in accordance with Luxoft policies

Skills

Must

• Relevant in-house experience (1 year min) and knowledge of work permit and immigration legislation in Germany are mandatory
• Self-starter, logical and flexible thinker; able to work on own initiative under pressure
• Own or leased Car / Driving License
• Appear credible and confident with all contacts and at all levels of the company, in particular at senior management level
• Mandatory Russian language knowledge
• Very good standard of English, German (both written and verbal)
• Good experience of using office tools e.g., Excel, Word, PowerPoint, internet and email
• Degree educated
• HR Administrative experience will be additional asset

Requirements upon necessity:
• Accompanying Expats to Foreigners’ Offices as translator
• Participating at Move out process of employees (rented flats where Luxoft GmbH is one of parties in the agreement)
• Business Trips to Munich
